Automating Compliance When Headcount Matters

Last week, a pharma compliance team asked a question we hear more often than you’d think: Can the system automatically cancel a program if there aren’t enough confirmed HCPs 72 hours before start time?

At the time, this step was being handled manually by the agency partner. It worked most of the time—but it depended entirely on someone remembering to check, take action, and notify the right people. When that doesn’t happen, programs can move forward when they shouldn’t, creating both compliance risk and unnecessary cost.

What made this tricky wasn’t just the automation itself. The agency team was used to having hands-on control over the process, so this meant shifting from a manual safety net to trusting the system to make the right call every time. And in speaker programs, “right” depends on nuance—who actually counts as an eligible attendee, who shouldn’t be included, and who needs to be notified if a program is canceled.

Because Speakcore is built around a configurable workflow engine, we approached this as a process design problem—not custom development. We worked with the client to define what qualifies as an eligible attendee based on degree and profession, explicitly excluding primary speakers and pharma employees from the count. From there, we configured a time-based workflow that automatically runs 72 hours before the event. If the minimum headcount isn’t met, the system cancels the program and sends tailored notifications to the host, the speaker, and all registered attendees.

The result is a process that no longer relies on someone remembering to intervene. Programs that shouldn’t move forward are canceled in advance, compliance risk is reduced, and unnecessary speaker honoraria for last-minute cancellations are avoided.

The bigger takeaway? Good technology doesn’t just digitize manual work—it removes the need for it altogether.
