A client surfaced an issue that was quietly undermining both the attendee experience and data quality. Key identifying information—such as NPI and email—was being collected too late in the registration process. Attendees would begin self-registering, enter several fields, and only then discover that a profile already existed. At that point, they were forced to stop and start over.
The result was predictable: frustration for attendees, increased risk of duplicate profiles, and more reconciliation work after the fact. From a compliance perspective, duplicate profiles make it harder to consistently monitor and enforce rules across programs.
The problem wasn’t what data was being collected—it was when.
To address this, we reworked how identity is established during attendee registration and on-site workflows. Instead of requiring attendees to search for themselves or discovering duplicates at the end, we introduced an “Identifying Details” section at the very beginning of applicable forms. As soon as key identifiers like NPI or email are entered, Speakcore performs a real-time search to detect existing profiles.
When a potential match is found, attendees can confirm it immediately and have available information automatically populated. If no match exists, they continue registering without interruption. The same logic applies to walk-in registration and rep-entered attendees, creating a consistent experience regardless of where attendee data is captured.
By identifying attendees earlier in the workflow, we reduced duplicate profiles, improved data accuracy, and created a registration experience that feels faster and more intuitive—while still strengthening downstream compliance reporting.
The takeaway? Better compliance doesn’t come from adding more steps. It comes from putting the right ones in the right place.
