Turning a Manual Nomination Process Into a Scalable Workflow

A new client came to us with a speaker nomination process that technically worked—but only because people were holding it together manually.

Nominations were submitted through a basic form, and from there, everything happened offline. Managers, marketing, medical, and compliance teams were all involved, but approvals were handled through emails, spreadsheets, and individual follow-ups. There was no centralized workflow, no audit trail, and no consistent process across teams.

As the program grew, the cracks became harder to ignore. It wasn’t scalable, it lacked transparency, and there was no reliable way to track where a nomination stood or what had been approved.

The first step wasn’t configuration—it was alignment.

We worked with the client to document their end-to-end process, identify inconsistencies across teams, and define a single, standardized workflow that reflected how speaker nominations should actually move through the organization.

Once that foundation was in place, we implemented the process within Speakcore using a configurable, multi-step workflow. Each stage—from nomination submission through manager, marketing, medical, and contract approval—required the appropriate data and inputs before progressing.

Automated notifications were introduced at every step, ensuring stakeholders were informed without relying on manual follow-ups. Every action is now tracked, creating a complete audit trail and providing full visibility into nomination status.

The result is a structured, scalable system where speaker nominations can be submitted, reviewed, approved, and tracked from start to finish—all within a single platform.

The takeaway? Before you automate a process, you have to understand it. The real value comes from bringing structure and visibility to workflows that were never designed to scale.
